ProspectBlue is proud to partner with a mission-driven, community-focused non-profit in their search for an Executive Director of Finance and Administration. This is a unique leadership opportunity that will support a wide range of dynamic programs and operations. This organization serves as a hub of daily connection—hosting wellness programs, community events, a farmers market, a café, an independent preschool, a retail shop, art exhibitions, and food assistance programs.

About the Role:

The Executive Director of Finance and Administration will play a critical role in ensuring the financial health and operational effectiveness of the organization. The Executive Director will serve as a senior team member, reporting to the chief executive and collaborating closely with program leadership, operations and facilities staff, and the finance team. Key areas of responsibility include financial oversight, human and capital resource management, strategic planning, and supervision of administrative and facilities functions.

Key Responsibilities:

Financial Oversight and Management

  • Manage all aspects of financial operations including contributions, accounts payable, payroll, and banking relationships
  • Supervise financial staff and work closely with an external accounting partner
  • Oversee financial processes for ancillary operations (e.g., retail, café, events)
  • Lead the development of the annual operating budget in collaboration with staff and finance committee
  • Ensure timely completion of annual audits and compliance with best practices
  • Provide regular financial reports to leadership committees and evaluate fiscal policy
  • Maintain strong internal controls and procurement systems
  • Support department leaders in monitoring and adhering to budget parameters

Administrative and Human Resources Leadership

  • Oversee salary, benefits, and payroll administration
  • Supervise administrative and operational staff, including office, financial, and facilities personnel
  • Help manage capital improvements, service contracts, and vendor relationships
  • Ensure technology systems are secure and up to date, with a focus on cybersecurity and information management
  • Maintain adequate insurance coverage and oversee risk management
  • Support administrative functions including purchasing, database management, and general office procedures
  • Help lead implementation of organizational management systems
  • Track staff leave and professional development
  • Conduct performance reviews for assigned staff

Support for Development and Fundraising

  • Collaborate on the execution of the annual giving campaign, including data tracking and reporting
  • Assist with planned giving and coordination with the endowment committee
  • Manage the processing of bequests and special contributions

Committee and Board Support

  • Attend and support meetings of the Finance and Stewardship Committees, Board of Directors, and Executive Committee (monthly)

Partner and Stakeholder Collaboration

  • Serve as a key liaison for financial and administrative relationships with community partners including educational institutions, wellness programs, and other affiliated ventures
